What This Does

You pull last month's numbers into a spreadsheet inside Canva, and Magic Charts turns them into a branded, client-ready chart without you touching a design tool. Once you build the report template once, refreshing it each month is mostly copy, paste, and a quick review.

Before You Start

  • You have a Canva account with access to Canva Sheets and Magic Charts. These AI data tools sit on Canva's paid tiers rather than the free plan, so check Canva's own pricing page to confirm which plan your agency has and whether it includes them
  • You are logged in at canva.com
  • You have this month's raw numbers ready to paste: ad spend, conversions, leads, or whatever metrics that client's report tracks
  • A client report template already exists, or you are willing to build one once and reuse it every month

Steps

1. Open Canva Sheets and load your numbers

From your Canva homepage, start a new Canva Sheets document (or open an existing one for that client). Paste in the month's raw data: dates down one column, the metric you're tracking across the others. Canva Sheets behaves like a normal spreadsheet, so pasting from a downloaded ad platform report or a CSV works the same way it would in Excel or Google Sheets.

2. Generate the chart

Highlight the data you want to visualize, then look for Actions in the floating toolbar that appears above your selection. Click it, then select Magic Charts. A side panel opens showing chart options, either a suggestion based on your data or a set of chart types to choose from. Pick the one that tells the story you want, a bar chart for month-over-month comparisons works well for most agency metrics.

3. Drop the chart into your report template

The chart Magic Charts creates lives inside your Canva Sheets file, but you can copy it directly into a Canva presentation or report design. Paste it into the client's report template in the spot where last month's chart lived. Because the chart stays linked to its source data, updating the numbers in Canva Sheets next month will update the chart wherever it's placed, so you are not rebuilding the visual from scratch each reporting cycle.

Real Example

Scenario: A dental client's monthly report needs a chart comparing this month's ad spend and conversions to last month.

What you do: Paste both months of spend and conversion numbers into Canva Sheets, columns for month, spend, and conversions. Highlight the range, click Actions, then Magic Charts, and select a grouped bar chart. Copy the chart into the client's report deck under the "Performance This Month" heading.

What you get: A branded bar chart that matches the rest of the report's colors and fonts, built in a couple of minutes instead of formatting one manually in a design tool.

Tips

  • Build the report template once, with a placeholder chart already positioned where the real one goes. Every month after that becomes paste-data-and-swap-chart instead of starting from a blank page.
  • Before you send anything to a client, check the source: crossfoot the totals in your chart against the raw export from the ad platform or analytics dashboard the numbers came from. Magic Charts renders whatever you paste in accurately, it does not catch a typo in the data itself.
  • Client ad spend, conversion, and revenue figures are the client's confidential business performance data. Keep pasted numbers limited to what's needed for the chart, and check the client's contract or your standard data agreement before uploading anything more detailed, like full account-level exports, into a shared Canva workspace other team members can see.
