What This Does

A discovery call, a kickoff, or a monthly check-in produces decisions and details that are easy to remember for a week and impossible to remember by the third month of a retainer. Paste a call transcript into Notion and its AI can turn it into a structured note, decisions, action items, and open questions, tagged to that client so the next person who needs the context can search for it instead of digging through old emails.

Before You Start

  • Your agency has a Notion workspace, and you have edit access to the client area where these notes belong
  • You already have a way to get a call transcript, whether that's Notion's own AI Meeting Notes recorder (available on Notion's Business plan and above, check Notion's pricing page for current plan details) or a transcript exported from Zoom, Meet, or a separate tool like Fireflies or Otter
  • A consistent place in your workspace for client notes already exists, or you're willing to set up one page per client as you go

Steps

1. Get your transcript into Notion

If you're using Notion's own AI Meeting Notes feature, it records your system audio (microphone and speakers) during the call and creates the transcript automatically as a Notion page once the call ends. If you're working from a transcript exported elsewhere, Zoom's recording transcript or a tool like Fireflies, create a new Notion page under the right client and paste the raw transcript text in.

2. Ask Notion AI to summarize it

With the transcript on the page, select the AI option, usually available from the plus button or a right-click menu, and ask it to summarize the call into decisions made, action items with owners, and open questions still outstanding. Be specific in the prompt: "Summarize this transcript into decisions made, action items with who owns each one, and any open questions" produces a more usable note than "summarize this."

3. Tag the note to the client and file it

Add the note to whatever client database or page structure your agency already uses, a client's dedicated Notion page, a shared "Client Notes" database, wherever your team would think to look for it later. Tag it with the client name and the call type (discovery, kickoff, check-in) so it surfaces in a search months from now.

4. Check the summary against what you remember

Read the AI's summary against your own memory of the call before anyone acts on it. Action items with a client's name attached, or a decision about scope or budget, are exactly the kind of thing worth getting right the first time. If something reads off, pull up the raw transcript and check that section directly.

Real Example

Scenario: A kickoff call with a new B2B SaaS client covers brand voice preferences, three messaging priorities, and a decision to hold off on paid social until month two.

What you do: Paste the call transcript into a new Notion page under the client's workspace. Ask Notion AI to summarize into decisions, action items, and open questions. Review the result, confirm the "hold off on paid social" decision is captured correctly since it affects billing, then tag the note and file it in the client's notes database.

What you get: A searchable record that your account manager can pull up two months later when the client asks "didn't we already talk about paid social?", instead of scrolling through old emails or asking around the team.

Tips

  • Standardize your summary prompt across the team so every client's notes follow the same structure. A consistent format is what makes the notes searchable and skimmable later, not just accurate in the moment.
  • Client and prospect calls often include business details, pricing discussions, or things said off the cuff that wouldn't have been written down otherwise. Get consent to record where your state or the client relationship requires it, and think about who in your Notion workspace can see these notes before you paste in anything especially sensitive.
  • Link the note back to the client's project or proposal page if your workspace supports it. A decision buried in a call note is far more useful when it's one click from the deliverable it affects.
