What you'll accomplish
Right now, everything you know about a client lives across a folder of old briefs, a report you half-remember, and whatever's still in your head from a kickoff call eight months ago. Once you build a notebook for that client, you can ask it a direct question the morning of a call and get an answer pulled from everything you've actually given it, instead of digging through files while the client waits.
What you'll need
What you should see: An empty notebook with a prompt to add sources on one side and a chat panel on the other. Troubleshooting: If the create button is grayed out, refresh the page; this is usually a loading glitch rather than an account issue.
What you should see: Each uploaded document listed as a source, with NotebookLM processing it briefly before it becomes searchable. Troubleshooting: If a large PDF fails to upload, try splitting it into smaller sections; very large scanned files sometimes time out.
Confidential data caution: Client brand guidelines, campaign performance numbers, and internal reports are the client's business information, not yours to share freely. Keep each notebook scoped to that one client only, don't cross-upload one client's materials into another's notebook, and check your client contract for any confidentiality clause before uploading anything marked internal-only or NDA-covered.
What you should see: The web page or video listed alongside your uploaded documents in the sources panel. Troubleshooting: Some websites block automated fetching. If a URL fails, copy the page text into a plain document and upload that instead.
What you should see: An answer grounded in your uploaded sources, with references pointing back to which document it pulled from. Troubleshooting: If the answer seems to be making something up rather than citing a source, check that the relevant document actually uploaded successfully; NotebookLM only answers from what's in the notebook, so a missing source means a missing answer, not a fabricated one, but it's worth double-checking the citation regardless.
What you should see: An audio file, styled like a short conversation between two AI hosts summarizing the client's key history and current status from your uploaded sources. Troubleshooting: If the audio overview feels shallow, add more source material first; it can only summarize what's actually in the notebook.
Prep for any client call fast:
Give me a two-minute briefing on this client: their current goals, recent
results, and anything unresolved from our last conversation.
Check consistency across campaigns:
Based on the brand guidelines I uploaded, does anything in this month's
report or creative brief conflict with their stated brand voice or visual
rules?
Find something you can't remember:
Did we ever discuss [specific topic, e.g. expanding into paid social] with
this client? If so, when and what was decided?
Draft talking points from history:
Using everything uploaded about this client, draft three talking points
for a renewal conversation that reference specific results we've
delivered.
