What you'll accomplish
Right now, a discovery call ends and you're left with a page of half-finished notes, or worse, nothing at all because you were too busy actually listening. Set this up once and every client call gets transcribed automatically, with a summary and action items waiting in your inbox before you've even closed your laptop.
What you'll need
What you should see: A dashboard, mostly empty until your first call, with a prompt to connect a calendar. Troubleshooting: If email verification doesn't arrive within a few minutes, check spam before requesting a new one.
This is what lets Fireflies know which meetings to join automatically.
What you should see: Your upcoming meetings listed inside Fireflies, each with a toggle for whether the notetaker bot should join. Troubleshooting: If meetings don't appear, double-check you connected the same calendar account you actually book client calls on, not a personal one.
What you should see: A joined-meeting confirmation the next time a call starts, usually a small bot name visible in the call's participant list. Troubleshooting: If the bot doesn't join, confirm the meeting link is actually in the calendar invite (not just a phone number or a link pasted into chat separately).
Confidential data caution: You're now recording and transcribing conversations with clients and prospects. Several states require every participant's consent before a call can be recorded, not just yours. Say at the start of the call that it's being recorded and transcribed, and check your client contracts for language on recorded calls before you rely on this for every account.
What you should see: A summary block at the top, a list of action items pulled from the conversation, and a scrollable transcript below with speaker labels. Troubleshooting: If speaker labels are wrong (common on the first few calls), Fireflies improves this over time as it learns each recurring participant's voice; you can also manually relabel.
What you should see: A direct answer pulled from the transcript, with a reference to where in the call it came from. Troubleshooting: AskFred draws on a separate credit pool from summaries. If it stops responding, check your remaining AI credits in account settings.
Get a client-ready recap:
Summarize this call in three sentences I could send directly to the client
as a quick recap, focused on decisions made and next steps.
Extract action items only:
List only the action items from this call, and note who owns each one,
me or the client.
Find a specific commitment:
Did anyone commit to a specific date or deadline on this call? Quote the
exact line if so.
Compare two calls with the same client:
What changed between the discovery call on [date] and today's follow-up?
Focus on scope or budget changes.
